The Brief – Why a Digital Consultant Looks Beyond the Obvious

A client approached me with what appeared to be a simple technical request. They wanted outgoing confirmation emails for training delegates to automatically include an application form, venue details, and joining instructions.

At first glance, this looked like a task for an I.T. consultant or email systems specialist. However, as an experienced digital consultant, I recognised that the real challenge was not the email system itself — it was the inefficient process behind it.

The client’s internal documents had been created in Microsoft Word and were poor in quality, inconsistent in appearance, and did not reflect the company brand.

The legally required application form was especially problematic. It was overcomplicated, badly presented, and assumed that busy engineers would print it, complete it manually, sign it, then scan or return it digitally.

A web designer may have improved the look of the documents.

Professional branded PDF documents were created for venue details and joining instructions. These were simplified, made consistent, and hosted online via the company website for easy access.

The application form was completely rebuilt as a secure digital form within the website framework. It included:

  • Secure tokenised links for each delegate

  • Mandatory field validation checks

  • Digital signature capability

  • Easy online completion from any device

This type of joined-up thinking is exactly what separates a digital consultant from a supplier focused on only one technical area.

To improve internal administration, I also updated the back-office system with a clear traffic-light status process:

  • Grey – Delegate booking confirmed

  • Orange – Application form sent

  • Green – Application form completed

The revised delegate welcome email now contained two simple links:

  1. Secure online application form

  2. Venue details and joining instructions
